Shopify Orders Stuck on Unfulfilled? 7 Causes and How to Fix Them

Dropshipping

Quick answer: A Shopify order stays Unfulfilled until its items are marked as shipped. If orders are stuck, check these seven things in order: payment status, fulfillment holds, stock, location assignment, your fulfillment app connection, your supplier, and the shipping address. The permanent fix is to let a fulfillment partner sync, ship and write tracking back automatically.

How to find stuck orders

On the Orders page, open the Unfulfilled view and sort by date, oldest first. Anything older than your promised processing time (for most stores, 1 to 3 business days) needs attention. Also check the Partially fulfilled filter; split orders are easy to forget.

7 reasons an order stays unfulfilled

1. The payment is not captured

Orders with a payment status of Pending, Authorized or Expired should not ship yet. If you capture payments manually, authorizations expire, so capture them promptly or the order will never be paid.

Fix: capture authorized payments, follow up on payment terms, and cancel orders that will not be paid.

2. The order is on hold

On hold means you or an app paused fulfillment. Shopify also places orders on hold briefly while post-purchase upsell offers are shown. Fraud-review, pre-order and address-validation apps can add holds too, and an order cannot be fulfilled until the hold is released.

Fix: open the order, check which app placed the hold and why, then release it.

3. An item is out of stock

If one item in the order has no stock, the order stays Unfulfilled, or becomes Partially fulfilled if you ship the rest.

Fix: ship what you have and tell the customer when the rest will follow, or offer a substitute or a partial refund. Then keep safety stock on your best sellers.

4. Items are assigned to the wrong location

Shopify assigns each item to a fulfillment location. A fulfillment app or 3PL can only fulfill the items assigned to its location. If your order routing assigns items to your own address or another location, the app never sees them.

Fix: check your order routing rules under Settings → Shipping and delivery → Order routing, and use Change location on stuck orders so the items move to your fulfillment partner’s location.

5. The fulfillment app is disconnected

Expired permissions, an uninstalled app, a change of store domain or a SKU that is not mapped to a product all stop orders from syncing.

Fix: open the app and check that the store is connected, the order is visible and every SKU is linked to a product. Unmapped variants are the most common reason a single item will not sync.

6. The supplier has not shipped

In dropshipping, the order is often waiting on a supplier you do not control. Marketplace sellers may take days to ship and may never return a tracking number to Shopify.

Fix: chase the supplier, add the tracking number by hand, and move your best-selling products to a supplier or agent that writes tracking back automatically.

7. The address is invalid or incomplete

Missing apartment numbers, wrong postal codes or unsupported countries stop labels from being created.

Fix: contact the customer to confirm the address, update the order and resend it to your warehouse.

What about orders that are partially fulfilled?

Partially fulfilled orders usually have one of three causes: an out-of-stock item, items shipping from different locations or suppliers, or a pre-order item. Check which line items are still open, fulfill them as they become available, and update the customer. If something will never ship, refund it so the order can close.

Do not use “automatically fulfill all orders” for physical products

Shopify’s checkout settings let you automatically fulfill all line items. That marks orders Fulfilled the moment they are placed without shipping anything and without a tracking number. Shopify intends it for digital products and services. For physical products, let your fulfillment app or 3PL mark orders fulfilled when they really ship.

Fix it for good: automate fulfillment

Most unfulfilled backlogs come from manual steps: forwarding orders, waiting on suppliers and copying tracking numbers. With the free Honest FulPhilment app:

  1. Paid Shopify orders sync automatically, and SKUs are mapped to your products once.
  2. We source, inspect and pack each order in our China warehouses, with your branding if you want it.
  3. Stocked orders are dispatched within 24 hours across 30+ shipping lines.
  4. The tracking number is written back to Shopify, so the order turns Fulfilled and the customer gets the shipping email automatically.

FAQ

Why is my Shopify order still unfulfilled?

An order stays Unfulfilled until someone marks its items as shipped. The usual causes are unpaid or authorized payments, a fulfillment hold, out-of-stock items, items assigned to a location your fulfillment app does not manage, a broken app connection, or a supplier that has not shipped yet.

How long can a Shopify order stay unfulfilled?

Shopify does not cancel unfulfilled orders automatically, so an order can stay unfulfilled indefinitely. Customers, however, expect stocked orders to ship within 1 to 3 business days, and payment authorizations expire if you capture payments manually, so review unfulfilled orders daily.

How do I fulfill an order in Shopify?

Open the order, click Fulfill item, choose the items and location, add the carrier and tracking number, and click Fulfill. If you use a fulfillment app or 3PL, it does this for you and writes the tracking number back to the order.

Does unfulfilled mean the order was not paid?

No. Payment and fulfillment are separate statuses. An order can be Paid and Unfulfilled, which simply means you have the money but have not shipped the items yet.

How do I automatically fulfill Shopify orders?

Use a fulfillment app or 3PL that syncs paid orders from Shopify, ships them and writes the tracking number back, which marks the order Fulfilled and emails the customer. Shopify's checkout setting to automatically fulfill all orders is only meant for digital products and services, because it marks orders fulfilled without shipping anything.
